Terms of Use - Member Self Service

Access
Access to MyVhi is provided on the understanding that it allows currently registered members view or administer their health insurance cover from Vhi. Policyholders act for all members included on the policy with regard to the administration of the policy (e.g. cover changes, payments/refunds, renewals, and addition/deletion of dependants. Use for any other purpose is prohibited. Vhi will endeavour to provide access to the system at the agreed times, but no warranty is given. Vhi may terminate access to MyVhi at its own discretion.

Data
The member undertakes that, to the best of their knowledge and belief, any information provided in MyVhi is true and complete. Inappropriate use of MyVhi will result in access being revoked by Vhi. Please see Vhi’s Data Protection Statement, which contains details of the personal data we collect in relation to our customers, how we use that personal data, and your rights under data protection law. The Data Protection Statement can be found at https://www.vhi.ie/privacy-policy.

Security/Authentication
Vhi will provide the member with a username and password, which they must provide on request on each occasion they access MyVhi.

Login Details
Members must keep their login details secret and must not record them in a form or manner which would be intelligible or otherwise accessible to an unauthorised person. Members must notify Vhi immediately, should they either suspect or become aware that their login details have become known or available to an unauthorised person.

Acting on Instructions
The member authorises Vhi to act upon all instructions received in respect of the policy (in accordance with the policy terms and conditions) once accompanied by the appropriate login details, which have been or appear to Vhi to have been issued by the member, without taking any further steps to authenticate such instructions. Vhi will accept instructions from policyholders 24 hours a day, 365 days of the year. Instructions will be effected as soon as is reasonably possible.

Documentation
The member’s communication preference is confirmed once they agree to receive documentation online. All future policy documentation and claims statements will only be made available to the customer online. Any policy changes or claims that are in progress at the time of the customer changing their documentation preferences will continue to be progressed via the existing correspondence route.

Versioning
We will send you email/SMS alerts informing you of new documents which can be viewed within MyVhi. The information contained in these documents is accurate at the time they were sent to you. Subsequent updates to your policy documentation will be included in the current versions which can be viewed in the Manage my Policy and claims sections.

Terms and Conditions for the Use of OGP

The following definitions apply:

"Authorised User" means an employee of a company that pays for, administers or otherwise facilitates, via a Vhi Group Scheme the provision of Private Medical Insurance. Each Authorised User shall be provided with appropriate log in details by Vhi for access to the OGP, and must agree to be bound by the terms and conditions of the OGP at each login.

"Data Protection Acts" means the Data Protection Acts 1988 to 2018 and any regulations, codes and guidance issued by the Data Protection Commissioner (or any official who may succeed either for him or her) and any other applicable data privacy laws and regulations, it shall also include any superseding data protection legislation that comes into force during the Term of this Agreement ('together the'DPA')

"Personal Data" has the meaning given to it in the Data Protection Acts

"Sensitive Personal Data" has the meaning given to it in the Data Protection Acts

The Authorised User agrees to comply with the following conditions of use when accessing / using the OGP:
  1. Vhi Insurance DAC ('Vhi') provides the Authorised User with access to the OGP via a Personal Identification Number (PIN) in accordance with these Terms and Conditions for the sole purpose of facilitating the verification of policy details/alterations and breakdown of payments of Vhi Healthcare group scheme members. Use of the Service for any other purpose is strictly prohibited and would constitute a breach of the DPA. All abuses/inappropriate usage of the OGP service (Service) will be reported by Vhi to Data Protection Commissioner and shall result in the OGP being withdrawn from the Authorised User. In particular Authorised User acknowledges and agrees that they are the controller of any Personal Data with regard to the employer-employee relationship and will take appropriate steps to ensure compliance with the DPA, including such provisions as may apply to the transfer of Personal Data outside of the EEA.
  2. With regard to the processing of personally identifiable information involving the OGP both Vhi Insurance and the Authorised User's Employer are co-controllers, independently determining the purposes and means of processing the transfer data between them to that end, in accordance with Data Protection Law. Vhi Insurance determines that Personal Data shall be processed for the purposes of providing Private Medical Insurance and it shall determine the means of processing also. The Authorised User's Employer determines that Personal Data shall be processed for the purposes of the employer - employee relationship and they shall determine the means of processing also. Data is shared between Vhi and the Authorised User's Employer using the OGP for Vhi Insurance to provide health insurance and for the Authorised User's Employer to manage their employee relationships.
  3. The Authorised User agrees to keep secret and secure their log in details and not to allow any other person to use the same.
  4. The Authorised User is responsible for all use of the OGP accessed through their log in details.
  5. The Authorised User shall not disclose their log in details to any other person (nor shall they log onto OGP so that someone who is not an Authorised User can use OGP).
  6. In the event the Authorised User's log in details are used by any person other than an Authorised User, Vhi reserves the right to immediately terminate that Authorised User's access to the Service.
  7. All use of the OGP by the Authorised User may be tracked and monitored by Vhi. Vhi may conduct Audits on the use of OGP from time to time.
  8. The OGP screen must only be visible to the Authorised User who requires such access.
  9. No Personal / Sensitive Personal Data provided through the OGP service should be copied, saved, printed, disseminated or sent to any person or another electronic device including mobile phones (this applies to both paper and electronic copies including screen shots). The OGP service should not be accessed by Authorised Users in their home or at any other sites external to their work space and non-compliance with this clause may result in Vhi immediately terminating the Authorised User's access to the Service.
  10. Personal / Sensitive Personal Data of Vhi members retrieved from the OGP is highly confidential, it is provided through OGP for the sole purpose of verifying Vhi policy details/alterations and breakdowns of payments of Vhi Healthcare group scheme members and must not be disclosed to any third party.
  11. Vhi will endeavour to provide access to the OGP Service at the agreed times but no warranty is given.
  12. Vhi may terminate access to the OGP at its own discretion.
  13. Vhi may suspend any Authorised User access to OGP in the event that Vhi has reasonable cause to believe that the OGP is being used in any manner which is contrary to these terms and conditions.
  14. The Authorised Users agrees to promptly notify Vhi of any incident or data breach that occurs in relation to the OGP Service that results in or may reasonably give rise to a risk of unauthorised disclosure, loss, destruction or alteration of the Personal / Sensitive Personal Data provided through the OGP Service, immediately (or in any event no later than 24 hours) upon becoming aware of such incident and shall provide all reasonable co-operation and assistance to Vhi as may be necessary.

As an Authorised User of the OGP, I confirm that I have read and agree to abide by the above Terms and Conditions of Use.

"Authorised User" means

(1) an employee of Vhi where access is required to perform their role,

(2) a third party of Vhi in accordance with the contract between Vhi and its third party or

(3) a billing agent appointed by a consultant as part of their Vhi Consultant Agreement, and where access is granted in accordance with the appointment of the billing agent by a consultant as part of their Vhi Consultant Agreement to assist the Consultant with the payment of their invoices.

(4) an employee of a Service Provider, in accordance with an Agreement between Vhi and Service Provider.

“Service Provider” means a hospital, facility, or other company that provides a medical related service to Vhi Customers.

REGISTRATION

Access to Vhi Patient Verification System (PVS) is provided on condition that Authorised Users must comply with the following conditions of use:

  1. The Authorised User requires access to the Vhi Patient Verification System (‘PVS’) for the sole purpose of verifying Vhi membership details where a Vhi member has presented for medical services and has requested to be treated privately and where a Vhi member has requested to utilise Vhi Private Medical Insurance for services provided by the Service Provider. Use for any other purpose is prohibited.
  2. The Authorised User agrees to keep secret and secure their login details, and not to allow any other person (whether employed by the Service Provider, by Vhi or by a third party of Vhi, or not) to use the same.
  3. The Authorised User is responsible for all use of PVS accessed through their login details.
  4. The Authorised User shall not disclose their login details to any other person (nor shall they log in to PVS so that someone who is not an Authorised User can use PVS through their account), irrespective of whether or not that person is a colleague of the Authorised User.
  5. Once access is granted to an Authorised User that the PVS screen must only be visible to the Authorised User who requires such access.
  6. That data (which includes personal and special category data) retrieved from the PVS is confidential and must not be disclosed to any third party.
  7. That confirmation of cover to a Vhi Healthcare member that presents for medical services does not constitute disclosure under these terms and conditions.
  8. Vhi will endeavour to provide access to the system at the agreed times but no warranty is given.
  9. Provision of Vhi Healthcare member and product details is not a guarantee of payment.
  10. Benefit will only be paid on receipt of relevant documentation.
  11. Vhi may terminate access to the PVS at its own discretion.
